The short version

  • We hold athlete development data — measurements, video, screening results, notes, and dates of birth — for the program the athlete belongs to.
  • Your program controls that data. Its coaches and administrators decide who sees it and what happens to it.
  • Programs are separated in the database itself. One program cannot read another program's athletes.
  • We do not sell data. We do not run ads. We do not build ad profiles.
  • A child under 13 needs verifiable parental consent, collected by the program, before an account exists.
  • You can ask to see, correct, or delete an athlete's data — start with the program administrator; requests are handled within 30 days.

1. Who is responsible for the data

Apex Motion Performance is used by organizations — a team, club, academy, or training facility. Your organization decides what to record about its athletes and who on its staff can see it. We store and process that data on the organization's behalf and under its direction.

Practically: if you want something changed, removed, or explained, your program administrator is the person who can act. We can help them, but the account is theirs.

2. What we collect, and why

Account information

Name, email address, role in the program, and — for athletes — date of birth. We need the email to sign you in, the role to decide what you can see, and the date of birth to apply age-based protections and to place an athlete correctly in age-group comparisons.

Athlete profile

Team, position, class year, throwing and hitting side, height and weight, and similar basics that coaches use to plan training.

Performance data

Test results, pitching and hitting measurements, force and speed numbers, training sessions, workload and pitch counts, goals, and development plans. Some of this is typed in by a coach; some is imported from equipment your program already uses (ball-tracking systems, timing gates, spreadsheets).

Video and images

Practice and game clips, screening video, and profile photos, along with the coaching notes and annotations attached to them.

Movement screening and health-adjacent records

Mobility and movement-screen scores, availability and return-to-play status, injury notes, and training restrictions. Coaches use these to train athletes safely. They are not medical records and they are not a diagnosis, but we treat them as sensitive and keep them inside the program that entered them.

Technical and usage information

Sign-in events, and error reports when something breaks so we can fix it. We do not use third-party advertising or tracking software, and we do not follow you around other websites.

3. Who can see it

  • Your program's staff, according to the roles and permissions the program sets. A medical or performance role can see screening records; other roles may not.
  • The athlete, for their own data, when the program gives the athlete an account.
  • A parent or guardian, through the program. Parents can ask the program administrator to review their child's records at any time.
  • Us, only as needed to operate the service, fix a problem a program reports, or meet a legal obligation.

Separation between programs is enforced by the database, not only by the screens you see. Every record is stamped with its organization, and the database refuses to return another organization's rows.

One exception worth naming plainly: a program logo uploaded for branding is served publicly, so anyone with the link can view it. Do not upload anything private as a logo.

4. How sign-in works

You sign in with an email address and password, or with a Google account. Authentication runs through Supabase, our database and identity provider. If you use Google, Google confirms who you are and we receive your email address and name — we never see your Google password.

Signing in sets a session cookie so the app knows it is you on the next page. Your browser also stores display preferences and a working copy of some data on your device to keep the app fast; clearing your browser data removes those.

5. We do not sell your data

We do not sell, rent, or trade personal information. We do not share it with advertisers or data brokers, and we do not use athlete data to target advertising — there is no advertising in this product.

We use a small number of vendors to run the service: Supabase (database, sign-in, and file storage) and Vercel (hosting). They process data on our instructions in order to keep the platform running, and nothing else. If a program is ever sold or transferred, data may move with it; we would tell the program administrator first.

6. How long we keep it

We keep athlete data while the program is using the platform, because development history is the point — a coach comparing this season to last needs last season. When a program leaves, we remove its workspace data within 30 days of the program telling us to. Backups roll off on their own schedule shortly after. Records we are legally required to keep, such as billing records, are kept for as long as the law requires.

7. Seeing, correcting, and deleting data

You, or a parent on behalf of an athlete, can ask to:

  • see what is stored about the athlete;
  • correct something that is wrong;
  • delete the account and the records attached to it;
  • get a copy of the athlete's data.

How: contact your program administrator — the coach or director who set up the account. They have tools in the platform to view, correct, and permanently delete a member and that member's records, and they can pass a request for a copy of the data on to us. Requests are processed within 30 days.

If you cannot reach your program, write to us at test@apexmotion.training and we will route the request to the program and follow up.

Deleting an athlete removes their records from the live platform. Copies inside routine backups age out on the backup schedule rather than being reached into individually.

8. Children under 13 (COPPA)

This platform is built for youth sports, so we expect athletes under 13. We handle them differently on purpose.

  • A child under 13 cannot create their own account. Self-signup is blocked, and the block is enforced by the database rather than by the sign-up screen alone.
  • Verifiable parental consent comes first. The program obtains consent from the parent or legal guardian before the account is created, and records who gave it, how it was obtained, and when. Until that consent exists, the account cannot reach athlete data at all.
  • What we collect from a child is the same development data described in section 2 — no more than is needed to provide the service to the program. We do not condition participation on a child giving up more information than that.
  • Parents can review. A parent or guardian can ask the program administrator to see everything stored about their child.
  • Parents can revoke. Consent can be withdrawn at any time. When it is, the child's access is cut off and the program is asked to remove the records; on request we delete them within 30 days.
  • We do not use a child's data for advertising, and we do not disclose it to third parties beyond the service providers in section 5.

9. How we protect it

Data is encrypted in transit. Access is controlled per-organization and per-role in the database itself, so a bug in a screen cannot expose another program's athletes. Administrative actions are written to an audit log. No system is perfect; if a breach affects your data we will notify the program administrator and, where the law requires it, affected individuals.

10. Where data is stored

The platform runs on infrastructure in the United States. If you use it from elsewhere, your data is processed in the United States.

11. Changes to this policy

When this policy changes in a way that matters, we update the version at the top of this page and ask you to accept the new version the next time you sign in. Where a change materially affects a child's data, we ask the parent again. The current version is 2026-08-approved.
